Coordinator, Delivery Management

Overview

The Finance and Corporate Services Division leads all services to secure a sound financial, project management and information technology platform and ensure that the organization has the technical, operational, infrastructure, and change management capabilities necessary to achieve the maximum impact for its mandate and budget. The team works alongside all divisions in managing financial and project aspects of programs and initiatives that aim to deliver on the priorities of the 2019-2029 Canadian Strategy for Cancer Control.

Overview of role

The Coordinator, Delivery Management Office (DMO) supports the Strategic Partnerships Division in carrying out projects and initiatives to achieve organizational priorities. Reporting to the Manager, Business Optimization and Delivery the incumbent coordinates and provides support to deliver on program/project objectives. As a highly organized professional with strong time management skills, this position delivers on the tasks of the job while contributing to CPAC’s overall vision to reduce the burden of cancer on all Canadians.

Core responsibilities and activities

Program specific accountabilities

  • Performs overall process management and operational support to the Delivery Management Team.
  • Provides on-boarding orientation and support to new and existing staff on DMO systems, processes, framework, templates, and practice guidelines.
  • Maintains and provides training, guidance and user support for the project management and reporting tools.
  • Acts as point-of-contact for external partners & stakeholders involved in program/project teams.
  • Manages correspondence, databases, records management systems, and paper & electronic filing systems for the team, ensuring accessibility of data.
  • Ensures project control activities are executed within the DMO’s office framework and methodology, including regular reporting.
  • Coordinates all project and partner status reports and processes including records management, scheduling meetings, compiling & distributing material for review and generating meeting minutes).
  • In collaboration with internal stakeholders, coordinates program meetings each quarter (including consolidating reports, distributing meeting materials and managing other meeting-related logistics).
  • Assists external partners and stakeholders with expense reimbursement requests and travel, codes expenses according to CPAC’s policies & procedures.
  • Proactively ensures Contacts Relational Management system (CRM) is continuously updated.
  • Collaborates with other administrative support staff at CPAC to facilitate more effective and efficient processes and to ensure policies are consistently adhered to within all functions and divisions.
  • Provides program/project support which may include managing small projects as assigned and assisting with the management of larger projects.
  • Contributes to ongoing development of, and maintains the DMO/Project Management methodology, processes, tools, guidelines, and templates.

General accountabilities

  • Liaises with Communications on internal communications.
  • Performs calendar management as required.
  • Performs other duties and ad hoc projects as required.

Qualifications

  • Undergraduate Degree or College Diploma in business administration, healthcare management
    or other relevant discipline, or an acceptable combination of education and experience.
  • Minimum 3 years’ experience, preferably in project management and/or the non-profit or
    healthcare sectors.
  • Proficient in Microsoft 365 (Outlook, Word, Project, Excel, PowerPoint, SharePoint, Teams).
  • Proficiency in Project Management methodology and practice, through a combination of experience and education is preferred.
  • Working towards PMP designation is an asset.
  • Proficiency in collaborative project management and dashboard tools is an asset.
  • Education or experience with First Nations, Inuit and Métis and project management related training is an asset.
  • Bilingual in both English and French is an asset.

Job level:

Level 4 salary range: $54,419 - $73,626 per year; Compensation offered will be based on an assessment of the candidate’s knowledge, skills, competencies, and experience, while ensuring internal equity.
